Location: Remote or Hybrid (Princeton, NJ) Employment Type: Full-Time Salary Range: $55,000–$65,000 annually, commensurate with experience
CFMA is seeking a highly organized, detail-oriented Member Engagement Planner & Administrator to support the planning and execution of executive meetings, conferences, speaker management, chapter engagement initiatives, and departmental administrative functions. This role is ideal for someone with experience in event coordination and administrative support who enjoys managing multiple projects with accuracy, professionalism, and strong follow-through.
The Member Engagement Planner & Administrator will play an important role in supporting CFMA’s member engagement efforts by helping deliver high-quality meeting experiences, maintaining event content and records, coordinating speaker materials, supporting chapter engagement activities, and ensuring internal stakeholders, vendors, and presenters have the information and support they need.
Key Responsibilities
Executive and Officer Meetings
Coordinate planning logistics for CFMA Executive and Officer meetings.
Research and manage location RFPs.
Arrange meeting space, on-site meals, evening dinners, and social events.
Assist in organizing giving back/community service activities connected to meetings.
Track details, timelines, and vendor communications to ensure smooth meeting execution.
Conferences, Roundtables, and Speaker Management
Upload and manage speaker and session information across events, including speaker bios, headshots, session descriptions, and vendor contact information.
Support event platform updates for conferences, roundtables, and related programs.
Collect, organize, and maintain speaker and session materials in appropriate shared folders and platforms.
Gather and file final presentations for educational sessions in Egnyte, sorted by presentation date.
Distribute attendee feedback and session scoring results to presenters.
Support chapter and regional speaker and subject matter expert requests by gathering updated bios and headshots for identified individuals.
Maintain and update speaker information in Lineup and other internal systems.
Ensure all speaker, sponsor, and session details are accurate, complete, and submitted on deadline for events including the Annual Conference, Software Roundtables, AGC/CFMA Conference, and chapter/regional programming.
Chapter Engagement and Administrative Support
Assist with administrative support for chapter engagement activities.
Prepare and distribute materials for chapter strategic planning sessions.
Support chapter outreach communications and follow-up as needed.
Prepare and submit expense reports in Concur.
Maintain organized digital files and shared folders.
Provide general administrative support to the department as needed.
Assist with tracking deadlines, deliverables, and follow-up communications.
Support cross-functional coordination across teams, speakers, vendors, and chapter leaders.

Qualifications
1–3 years of experience in event planning, meeting coordination, administrative support, or a related role.
Strong organizational skills and exceptional attention to detail.
Ability to manage multiple projects and deadlines simultaneously.
Strong written and verbal communication skills.
Comfortable working both independently and collaboratively in a remote or hybrid environment.
Professional, proactive, and service-oriented approach.
Ability and willingness to travel a minimum of quarterly in support of CFMA meetings and events.
