SAMPE North America (Society for the Advancement of Material and Process Engineering) is seeking a Membership and Chapter Operations Specialist to strengthen and support the operational foundation of our membership and chapter programs.
This role is ideal for someone who thrives in structured environments, values data integrity, and enjoys working with members and volunteer leaders in a professional association setting.
About the Role
The Membership and Chapter Operations Specialist oversees membership processing, database accuracy, chapter reporting, and member service operations. This individual plays a key role in ensuring strong data discipline, reliable reporting, and high-quality support for our members and chapters.
This position reports to the Board and Member Relations Manager and works closely with Marketing, Events, Finance, Sales, and volunteer leadership.
Core Responsibilities
Membership & Member Services
- Process new memberships, renewals, reinstatements, and updates accurately and in a timely manner
- Support renewal communications and outreach campaigns
- Respond to member and volunteer inquiries professionally and efficiently
- Assist with membership services at conferences and events
- Support corporate partner membership fulfillment
Database & Reporting
- Maintain the integrity and security of the Association Management System (AMS)
- Generate monthly, quarterly, and annual membership reports and dashboards
- Monitor renewal trends, segmentation data, and engagement metrics
- Identify process improvements to increase operational efficiency
- Serve as primary liaison with the AMS provider
Chapter & Student Support
- Support professional and student chapter leaders with reporting and compliance
- Track officer rosters and governance eligibility requirements
- Maintain student membership and chapter records
- Provide operational support for student chapter and committee initiatives
Qualifications
- Bachelor’s degree or equivalent association experience required
- 3–5 years of experience in membership operations, database management, or association administration preferred
- Strong proficiency in Microsoft 365, especially Excel (including pivot tables and reporting)
- Experience with an Association Management System (YM experience a plus)
- Highly organized, detail-oriented, and process-driven
- Strong written and verbal communication skills
- Ability to manage multiple priorities and deadlines
- Customer-service mindset with experience supporting volunteers
