Assists with accounts receivables activities for the association. Assists to ensure the organization receives payments for all services and properly records the transactions by posting receipts and resolving discrepancies according to established policies and procedures in an efficient, timely and accurate manner.
ESSENTIAL FUNCTIONS:
Create and distribute daily batches based on deposits (checks and lockbox) received and maintain a supporting batch log consisting of the details of each deposit for cash control
Reconcile daily web batches and compare them to iMIS to ensure all transactions have been recorded in iMIS accurately
Assist Senior Manager, Accounts Receivable with proofing daily web batches and processing corrections
Process/data enter daily iMIS and eSHOW batches for Accounts Receivable
Respond promptly to daily customer service emails
Serve as backup to Senior Manager, Accounts Receivable to Reconcile monthly batches including the maintenance of a supporting batch log to ensure all monthly batches have been accounted for
Review monthly iMIS Trial Balance with the Senior Manager, Account Receivable for collection efforts and tracking
Serve as backup to Senior Manager, Accounts Receivable for Month-end process
Assist the Senior Manager, Accounts Receivable to Create and distribute invoices for conferences, contracts, and partnership agreements monthly and upon request
Manage onsite conference registration for VISION, NPS and MO ACTE events
Calculate revenue shares for events and submit payouts with supporting documentation
Responsible for providing quality customer service in accordance with the ACTE Customer Service Standards.
Ability to travel to Annual Convention and other events and occasionally work irregular hours as required. Ability to travel to two in-person staff events annually
WORKING RELATIONSHIPS:
Internal: Works directly with membership staff, accounting staff and meetings and events staff.
External: Works with members, event attendees and annual convention vendor on-site staff.
EXPERIENCE, SKILLS AND QUALIFICATIONS:
Bachelor’s degree preferred or any combination of education, experience, and training equivalent to a bachelor’s degree.
Minimum of 3 years accounting experience in iMIS EMS required; experience in eSHOW a plus.
Finance experience in an association environment preferred.
Proficiency in Microsoft Office Suite.
