The Senior Manager, Exhibits & Sponsorships Fulfillment is responsible for contracting, fulfillment, customer service, management and day-to-day operations of exhibit and sponsorship programs at AAAE. Events include, but are not limited to, the AAAE Annual Conference & Exposition with 300+ companies, as well as five additional mid-size meetings and numerous smaller events throughout the year. This role may also have supervisory responsibility.
Primary duties and responsibilities:
Work in conjunction with the meetings and sales teams to create exhibitor and sponsor prospectus and contracts
Process and track prospects, new and existing sponsors and exhibitors for meetings and events
Assist in lead generation and work with existing partners in elevating their participation with AAAE
Once an exhibit or sponsorship is sold, act as the primary liaison overseeing customer service, processing of contracts in IMIS, confirmations, regular email communication and overall awareness of all event policies, procedures and next steps
Work in conjunction with the finance team to input, manage and track contracts and exhibitor/sponsor registrations, invoicing and collection of balance dues
Maintain and assist in the creation of trade show floorplans in conjunction with the meeting planner, Vice President of Corporate Engagement, the General Service Contractor and A2Z Events for all meetings
Manages exhibitor and sponsor registrations for all booth personnel and sponsoring companies pre-event and onsite at the events
Responsible for acquisition, organization, storing and proper usage of company logos and images for use in emails, the event app, directories, websites, presentations, signs, and show art
Creates exhibitor and sponsor directories for conference and meeting programs
Lead coordination efforts with general service contractors for assigned meetings and assist in the RFP process
Act as the AAAE onsite show manager for assigned tradeshows, managing the overall onsite exhibitor and sponsor experience, along with the AAAE Sales team
Interfaces regularly with AAAE corporate members and prospective members
Responsible for ensuring exhibitor and sponsor ROI to include but not limited to post-event survey’s, thank you notes, capturing of memorable interactions and summary of overall metrics delivered throughout the year
Position requires flexible schedule to travel
Performs other related duties and assignments as required
Education, prior work experience, and specialized skills and knowledge:
Bachelor’s Degree required, CEM or CMP preferred
Minimum 8 years’ experience in exhibits and sponsorships
Management experience a plus
Ability to interact professionally with high level executives and key stakeholders
Excellent analytical, communication, customer service, time management and project management skills
Strong attention to detail and organizational skills
Experience writing registration and exhibitor communications
Tech-savvy with a working knowledge of Outlook, Word, Excel, and PowerPoint
Experience working with General Service Contractors and event management databases and software systems (iMIS& A2Z Events preferred)
Knowledge of email platforms and ability to write progressive email marketing campaigns and communications
