The Massachusetts Medical Society (MMS) is the statewide professional association for physicians and medical students, supporting 25,000 members. The Association Services Coordinator provides administrative support and project coordination to the Association Management Services (AMS) staff. She/He/They assists with planning, coordination and administrative details for specialty board and committee meetings, education programs, and events. The Association Services Coordinator maintains membership databases and websites, processes accounts receivables and payables, provides distribution lists and coordinates client communications, including event promotions.
Maintains membership databases and websites. Coordinates recruitment and retention activities including the preparation, distribution and processing of dues payments, as well as corporate member fees. Prepares and distributes financial reporting such as transmittal summaries and group invoices and distributes appropriately. Generates ad hoc reports as requested.
Supports education programs, event planning and meeting management, including setup and maintenance of registration records on databases and via websites. Processes and provides reports for event registration payments and exhibit fees. Follows up with invoicing as necessary.
Assists with the production, design and electronic and USPS distribution of brochures and newsletters. Also responsible for preparation of onsite meeting materials.
Coordinates on-site registration at education programs, events and meetings as requested. Provides meeting registration reports for CME reporting requirements.
Tracks and maintains reports for dues and non-dues revenue including corporate support, grants, exhibit fees. Additionally, maintains a database of industry contacts.
Prepares meeting materials for executive board and committee meetings, supports AMS staff with follow-up on action items, and other meeting responsibilities.
Supports the association managers with coordinating website updates.
Generates and distributes reports on a monthly and ad hoc basis, including financial information, non-contracted expenditures, and other society related information for each client.
Performs a variety of administrative duties including preparing routine correspondence, phone coverage, and print and digital file maintenance.
Supports the Manager, Association Management Services with coordinating client transitions.
Additional responsibilities as assigned.
A Bachelor’s degree or equivalent and three or more years of related experience are required.
Excellent organizational, communication and interpersonal skills, and attention to detail and quality are important.
Proficiency with, Microsoft Office applications (Outlook, Word, PowerPoint, Excel and Access), and website programs is necessary.
The ability to work in partnership with a team to complete work in a fast-paced, multi-project environment is also necessary.
