Founded in 1918, AWCI represents 2,400 companies and organizations in the acoustics systems, ceiling systems, drywall systems, exterior insulation and finish systems, fireproofing, insulation, prefabrication/panelization and stucco industries. AWCI members are contractors, suppliers and manufacturers and those in allied trades.
AWCI is seeking a full-time Director of Convention & Conferences to lead the association’s meetings department (current Director is retiring in July 2023). Annual meetings include Build: AWCI’s Convention + Expo and AWCI’s Industry Leaders Conference, as well as two annual Executive Committee meetings. The Director is responsible for development, execution and evaluation of AWCI meetings.
Experience in a nonprofit (501(c)(6) and/or 501(c)(3)) environment is strongly preferred. The position reports to the CEO and is located in Falls Church, VA. No relocation expenses provided.
Position Details
Full Time; Located in Falls Church, VA (Washington, DC metro area)
Annual Salary: $100,000+ (depending on experience)
Potential telework up to two days per week (after 90 days of employment)
Limited Travel (< 10%)
Responsibilities
Provide excellent leadership and management of all AWCI events
Identify appropriate venues for future expos and conferences
Develop and maintain relationships with key hotel contacts and industry vendors to ensure AWCI is provided favorable concessions in contracts
Serve as lead negotiating contracts with venues, hotels and vendors, keeping AWCI’s best interests in mind. Contracts must be reviewed, approved and signed by AWCI’s CEO.
Provide detailed budgets for each conference, including tracking expenses, reforecasting and providing budget explanations
Coordinate with AWCI’s Education Department on speaker and audio-visual needs
Manage logistics for all meetings and events, including detailed scheduling of conference rooms, food and beverage ordering and setup, AV equipment and production, sponsor deliverables, etc.
Prepare staging guide for all events
Manage hotel room blocks including rooming lists, exhibitor sub-blocks and overflow hotel room needs
Maintain historical files
Supervise the Manager, Trade Show & Meetings and provide annual written review
Serve as staff liaison to AWCI Business Forums, Hospitality Task Force and family of the Pinnacle Award (person of the year) winner
Other duties or events as assigned
Sponsorships
Maintain awareness and be responsible for emerging trends, challenges and other topics of interest to members and sponsors. Maximize sponsor engagement while maintaining strong quality control measures.
Get to know sponsors – understand their goals and how AWCI can help them achieve their goals
Meet or exceed budgeted sponsorship revenue
Onsite
Facilitate the execution and onsite delivery of the meeting/expo
Manage internal staff, temporary staff and outside vendors
Post Event
Ensure the timely reconciliation of all meetings and event invoices
Update budget with final numbers for accurate and historical record keeping
Request reports from host hotel(s) with final room pickup, attendee listing, F&B actuals, etc. Document and use as a guide for planning future events.
Travel
AWCI Industry Leaders Conference (Sept./Oct.) and Build: AWCI’s Convention + Expo (March/Apr.); as well as site and planning visits as needed

Bachelor’s or Associate’s degree from an accredited institution required
CMP and/or CEM certification preferred
Minimum ten (10) years’ experience managing trade shows and conventions
Strong written and verbal communication skills; ability to lead a meeting and speak in front of groups; ability to interact effectively with others, both internally and externally
Strong customer service skills
Excellent time management skills and detail-oriented
Contract review and negotiation experience
Ability to handle and prioritize multiple projects with competing deadlines
Ability to take the lead on projects and work independently, as well as collaborate as a team
Microsoft Office proficient; Familiarity with a2z/Personify and Fonteva/Salesforce a plus
