This position is responsible for performing the accounting functions for the International Society of Explosives Engineers (ISEE) and the Society of Explosives Engineers Education Fund.
Accounting Specific Duties:
Prepares monthly financial documents including balance sheet, monthly actual to budget, cash flow, profit and loss, aged receivables, and other financial reports to help manage the organization.
Handle accounts receivable and accounts payable for each organization. Maintains aged receivables and enforces collection procedures. Processes member payments upon acceptance.
Ensure that all items are invoiced and paid on time.
Accurately codes income and expenses for all Society and Foundation activities according to the chart of accounts and consistent with accrual accounting procedures and the annual budget.
Prepares annual departmental summary of revenues and expenses incurred by each department to aid in budgeting for the new fiscal year.
Works with auditors and tax firms by providing information requested for preparation of the audits and 990 tax filings.
Works with the Foundation Committee to prepare for the annual Scholarship Program through the awarding of scholarships and reporting to the Board of Trustees.
Collects all moneys and maintains contribution records to the Foundation.
Manages all dues billings, including dues billing procedures.
Prepares all check and mails all payments, makes all deposits to proper accounts, and reviews cash balance for all entities.
Posts all accounting records using accounting software (currently Quick Books).
Maintains and updates check signature cards annually for each organization, consistent with signing authority.
Overall Qualifications:
Minimum of four (4) years accounting experience preferred.
Proficiency with Quick Books, Excel, web-based cloud tools required.
Knowledge of GAAP required. Familiarity with non-profit GAAP preferred.
Experience with monthly closing of accounting tasks required.
Experience working with supporting schedules (fixed assets, prepaid expenses, etc.)
Experience using computers and various software packages i.e., Microsoft Office.
Detail oriented, good organizational skills.
Strong communication skills to include answering the phone and writing emails.
General Responsibilities:
Participate on staff meetings and internal team meetings.
Provide statistics, background, summaries, and additional information from Quickbooks, Excel and database as needed to the Executive Director.
Consistently demonstrates courteous, cooperative, and helpful behavior to all contacts, internal and external.
Ability to lift boxes up to 40 pounds.
Travel, including overnight, is required for this position to ISEE’s Annual Conference (Late January 2024). 8-10 days for the Conference).
Evening and weekend work leading up to, and including, the Annual Conference is required.
Annual travel of 10% of less for this position.
2-3 Trips to the ISEE Office (Cleveland, OH) required for Conference preparation (8-10 days).
