The Associate Director, Conference Services position is a high visibility role which demands exceptional customer service, organizational skills, a high level of professionalism and the willingness to go above and beyond to ensure a perfect member experience. The ability to operate independently as well as in a team setting, possessing strong attention to detail and multitasking while managing competing deadlines are all essential qualities. This position reports to the Director, Executive & Conference Services.

JOB RESPONSIBILITIES

• Source meeting locations (primarily in hotels) using MCAA’s RFP format for meetings ranging from 10 – 300 attendees.
• Provide logistical specifications to meeting venues including menu selection/creation, audio/visual equipment rental and room sets.
• Travel to approximately 10 out-of-town meetings/year for successful meeting execution. Travel times range from two days to over a week depending on the conference. Travel for site visits is also required for certain meetings.
• On-site exhibit management (primarily table-top exhibits).
• Work with various MCAA Directors on conference logistics.
• Work closely with Senior Conference Service staff.
• Assist in the creation and implementation of meeting marketing materials
  (brochures, websites, etc.).
• Assist in yearly budgeting and monthly forecasting with MCAA Directors and ensure meeting parameters meet the budget requirements.
• Finalize all meeting bills and process payments with the Accounting Department.
• Work closely with the MCAA Registration Department.
• Relationship building and maintaining with key stakeholders.
• Assist in developing long term strategic goals for MCAA.
• Ability to project a favorable and professional image to MCAA’s members, vendors and associates.
• Ability to work under deadline pressure and on multiple projects simultaneously in a fast-paced environment.
• Ability to handle time sensitive inquiries from MCAA members.
• Create a professional development plan that may require additional travel to trainings.

EXPERIENCE

• Bachelor’s Degree
• 5+ years of meeting and event planning experience
• Association experience preferred
• RFP creation and distribution
• Hotel and event contract negotiation
• Event bill reconciliation
• Design and implementation of marketing materials and strategies
• Excellent customer service skills
• Proven verbal and written communication skills
• Strong organization skills
• Interpersonal problem-solving skills
• Experience working independently as well as in a team setting
• Familiarity with database management systems, Fonteva, Excel, Word, Outlook, MS Teams, Zoom and PowerPoint
