The Household and Commercial Products Association (HCPA) is the premier trade association representing companies that make and sell $180 billion annually of products used for cleaning, protecting, maintaining, and disinfecting in homes and commercial environments.
HCPA is searching for an innovative and enthusiastic Vice President, Meetings & Conferences to join the senior management team.
Meetings & Conferences: This position will be responsible for planning all elements of HCPA’s events, including the Mid-Year and Annual Meetings and 10-15 workshops/webinars during the year.
Produce all aspects of event operations for two conferences (300-400 attendees) and 10-15 workshops on an annual basis, including pre-event activities/site visits, website content, registration/guest list, AV/technical support, create and manage run-of-shows, meeting promotions, hotel specifics and negotiations, security, transportation, sponsorship opportunities and fulfillment, stakeholder management, and day-of execution.
Work with the executive team to ensure the Association’s strategic priorities are represented in events throughout the year.
Design a post-event survey for each event to measure the engagement of attendees to ensure HCPA is optimizing the event as a resource and use the feedback to generate innovative ideas to improve upon the next event.
Manage and maintain a strategic budget to ensure the cost of events remains under budget and that HCPA is hitting the profit goals set by the CEO.
Negotiate hotel contracts, including room block, food and beverage minimum, and concessions to ensure the Association is getting the most financial benefit and taking on the least amount of risk.
This position will partner with the Vice President, Marketing & Member Engagement in two additional areas:
Marketing: Assist in planning marketing campaigns to expand HCPA’s reach and potential customer pipeline.
Assist in developing marketing campaigns that promote upcoming events to meet revenue goals.
Collaborate with the Vice President of Marketing & Member Engagement to produce promotional materials.
Assist in the message development to ensure that the Association’s brand strategy is fully being optimized and executed to achieve immediate and long-term business goals.
Identifying and executing improvements for processes, content, and lead generation.
Coordinate with the Communications team to research, write, and develop supporting marketing material and create marketing plans for each individual event.
Membership: This new position will assist the Vice President of Marketing & Member Engagement to recruit new members, retaining current members, and increasing members’ engagement in HCPA events and programs.
Bachelor’s degree required
Travel up to 15% of the year
Minimum five years of experience leading meetings and events or seven years of experience working in operations at a trade association
Experience working with a CRM Database
Exceptional event coordination and project management
Superior organization skills and attention to detail required
Strong written, verbal, and interpersonal communication skills
Strong project management skills and ability to juggle multiple, shifting priorities
History of successfully managing internal and external partners, staying on time and on budget, while meeting goals
Results-oriented and strong self-management skills
Proficient in Microsoft Office Suite (Teams, Word, Excel, PowerPoint, Outlook, etc.)
