The American Veterinary Medical Association (AVMA) Trust is seeking an Office Administrator for our Schaumburg, IL location. This is a hybrid position.  The AVMA Trust provides professional liability insurance, life and disability coverage, financial services, as well as other important benefits to the over 99,000+ members of the AVMA. Structured to work its members, AVMA acts as a collective voice for its membership and for the veterinary profession. AVMA’s mission is to lead the profession by advocating for our members and advancing the science and practice of veterinary medicine to improve animal and human health.

The key role of the Office Administrator is to support the AVMA Trust team to ensure processes and assigned responsibilities are delivered on time and produce the desired results. The Office Administrator supports the day-to-day activities for the Trust Team. The ideal candidate will have the ability to work collaboratively and independently on items, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities

Administrative Support

• Completes a broad variety of administrative support for the team, including arranging complex and detailed meeting logistics along with agendas and managing the planning and execution of meetings
• Facilitates and maintains the AVMA Trust Staff Travel log and provides calendar management
• Maintains resources and materials across shared drives including filing presentations, publications and sorting and classifying photos
• Partners with the administrative team to maintain and manage the AVMA Trust offices including ordering of supplies, managing vendor relationships and ensuring they are both in proper working order
• Provides event support as needed, such as ordering materials, maintaining calendars, and assisting with travel arrangements
• Assists with tracking marketing campaigns along with claims and event report analysis
• Provides proofreading support as needed
• Other duties as assigned

• Minimum of 5 years of experience providing executive level support
• Strong administrative and organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly and with excellent attention to detail in a fast-paced environment
• Excellent written and verbal communication skills
• Demonstrated proactive approaches to problem-solving with strong decision-making capability
• Must be able to work after regular business hours and on weekends as required

   Educational requirements:

• BS/BA degree
• Must have experience with technical support
• Strong time management and analytical skills
