Position Summary
This position is responsible for maintaining accounting records and assisting in the facilitation of the financial affairs of the association and other entities managed by the association (PAC, Educational Foundation, and districts). This includes daily data entry and reconciliation of transactions, recording and processing accounts payable and accounts receivable. Further, this position will provide general administrative support to the Richmond headquarters office. The Bookkeeper reports to the CEO and works closely with the Event Registration Coordinator and the external accounting firm.
Essential duties and responsibilities
Record daily transactions in accounting software.
Processes all credit card transactions and sends to CEO for review monthly.
Processes all accounts receivable for association, PAC, Educational Foundation, and districts.
Processes all accounts payable invoices and payments for association, PAC, Educational Foundation, and districts.
Records aggregate of payroll to general ledger.
Assists in the monthly financial reporting (balance sheet, income statement, and so on) for association, PAC, Educational Foundation, and districts.
Follow all GAAP and regulatory compliance, and internal control monitoring processes and procedures.
Updates cash and account balances.
Assists with consolidating all district and PAC financial activity with association.
Prepares association membership dues invoices.
Responsible for maintaining inventory of office and kitchen supplies.
Works with CEO to schedule regular maintenance and upkeep of building and grounds.
Other administrative and accounting duties as assigned.
Technology Skills
Requires advanced ability to operate computers and related software programs and ability to manage the information for the association. Intermediate/advanced level ability required in Microsoft Office programs including ability to design and use Excel; experience with QuickBooks Online accounting; and online web banking. Knowledge and experience with Association Management Systems (AMS) is a plus.
