Summary of Position:
We are hiring an Event Planner to support the Executive Director in planning appx 20 annual events. The events range in size from Board meetings (10-15 people) to our Annual Conference (150-ish people) with all but our Annual Conference being held in Maryland.
This position will handle the association’s planning, scheduling, and coordination for virtual and live meetings and conferences. The ideal candidate for this role is highly organized and detail-oriented, demonstrates strong written and verbal communication skills, and is proficient at managing multiple projects and timelines concurrently.
The Event Planner / Office Manager position does require working in-office (Glen Burnie, MD) Monday thru Friday during training (3-6 months), with the ability to move to a flexible remote working schedule after training.

Nature and Scope of the Position:
All Events
ACEC/MD currently holds multiple events annually, an Annual Conference, golf outing, holiday party, and multiple other local Baltimore area events. This position requires experience in specific activities related to event planning including but not limited to:
Housing Management, tracking pick up, special group reservations, and maintenance of historical records
Logistics for tours, event specification documents, meeting room sets, food and beverage, signage, and on-site fulfillment
Communications with members and attendees, by email, phone, or in-person
Reconciliation of vendor and venue billings, and registration, exhibitor and sponsorship revenues, assisting with budget development and tracking for specific line items
Website development, creation of online forms, and website content
Virtual Event platform selection and management
Sponsorship deliverables management, and support of event sponsorship programs
Support for AMS event/exhibit modules as needed
Other
Researches potential sites/hotels and logistics for other events of the association committees, board, special working groups, etc.
Arranges logistics of ACEC/MD’s exhibit booth at other industry tradeshows (F&B, A/V, System, furniture, shipping, labor, etc.)
Keeps event SOP’s updated and current to activities of the organization
Researches latest event industry trends and the Intermodal Industry and makes recommendations for possible; Participates in event webinars where applicable
Special projects and other duties as assigned
Minimum 2 – 5 years of experience providing meeting planning and support within a fast-paced, professional environment; preferably at a trade association
Bachelor's degree preferred, but not required
Must be a self-starter, able to follow instructions and make decisions independently, as well as work effectively in a team
Able to meet assigned deadlines and manage own work
Strong organizational skills and ability to multi-task and prioritize
Needs to be customer service/commercially oriented and possess a positive attitude
Strong communications skills
Ability to interact with mid to senior corporate executives of the organization, Association members, and business partners
Highly computer and Internet proficient. Experience and demonstrated proficiency with current versions of Windows
Working knowledge of Desktop publishing programs a plus (InDesign, Photoshop)
