NPACE is currently seeking a Program Support Specialist to join our growing team. The Program Support Specialist will provide support for virtual and in-person programming by working with the Education and Programming departments to schedule events, prepare materials, and marketing activities.
This position is currently part-time, but is expected to grow into a full-time position in the coming months, as we return to producing both in-person and virtual conferences in 2022. Ideal candidates are dependable, reliable team players with strong initiative and excellent communication, organizational and customer service skills.
Duties and responsibilities include:
Education Department Support
Prepare and complete ANCC Paperwork including planning committee COI forms for all educational activities; Educational Planning Tables (EPTs); complete one per session; ANCC Accredited Provider Planning form; one per educational activity
Communications with speakers including initial welcome communication, speaker contracts, reminder emails, instructional emails, etc.
Ensure speakers meet required deadlines for material submission
Convert final PowerPoint presentations into handouts
Update speaker information and materials in Airtable/Speaker checklist
General Program Support (Both Virtual & In-Person)
Create annual NPACE conference calendar
Create NPACE Policies/COI Disclosures PDF Handout (including Program Title & Dates)
Prepare Housekeeping slides/pre-roll for each in-person and virtual event
Supervise registration and housing processes.
Provide customer service (phone and email) and handle complicated issues related to registration and housing such as waitlists, special requests, and cancellations.
Manage temporary personnel providing assistance for conference tasks (registration desk help, collating attendee packets, etc.), both in-office and on-site at the event.
Assist in the creation of evaluations/surveys/post-test
Oversee office administrative tasks and duties
Virtual Event Support (Monthly/Quarterly)
Revise scripts for moderators/hosts
Assist in building the Virtual Conference Platform (agenda, speaker bios/headshots, session details and handouts, exhibitor/sponsor profiles)
Provide presenters with day-of event instructions and pre-recording instructions
Track collection of sponsor and exhibitor assets (sponsor logos, banner ads, videos, etc.)
In-Person Program Support (every other month)
Coordinate/track shipments of NPACE materials to/from event venues
Monitor registration and hotel pick-up on a weekly basis; generate and analyze reports as needed
Prepare all registration materials (print badges, rosters, order ribbons and badge holders, etc.)
Assist with coordination of all conference details (room sets, food and beverage, A/V)
Assist with coordination of speaker travel with NPACE travel agency
Review/proofread promotional emails for all upcoming NPACE programs (in-person or virtual) for accuracy
Draft all Event emails
Additional Duties and Responsibilities
Participate in training as needed
Perform other duties as assigned
Ability to travel approximately 5-7 times/year
Bachelor’s Degree in Business, Communications or related field Preferred
Minimum 2-3 years office experience, virtual work history preferred
Excellent writing, proofreading, and editing skills
Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook)
Experience with Event Management/Registration Software, Mobile Apps, and Virtual Conference platforms preferred
Experience with social media platforms
Ability to manage multiple projects within designated timelines while delivering high-quality results
Work performed in an office environment
Travel approximately 5-7 times/year
Required to sit for long periods of time; may need to walk or stand in the course of work as well as light to medium levels of lifting of supplies or equipment
