Position Summary The Program Coordinator is responsible for assisting the Director of Sections and Divisions and providing support to the voluntary leadership of the FBA’s twenty-four (24) substantive law sections and six (6) divisions. These substantive law sections and career divisions represent special areas of practice and each is led by a group of voluntary members. The coordinator is responsible for webinar logistics, event registration procedures, administrative support, webpage updates, communications, marketing, and correspondence. Essentials Duties and Responsibilities - Assist with procedures for sections and divisions governance and activities, including, but not limited to, coordinating the preparation and distribution of section and division publications, scheduling monthly conference calls, administering leadership elections, maintaining leadership rosters, circulating membership communication, and providing general administrative support
- Assist with logistics for in person and virtual Section and Division programs and webinars including, but not limited to, initial setup and planning, calendar updates, meeting room specifications, catering and audio visual, event shipments, speaker confirmations and communications, reminder and follow up communications, print/electronic materials and collateral, and tracking program history
- Process attendee and speaker registrations and respond to registration inquiries in a timely manner
- Work closely with the Director of Sections and Divisions and volunteer leaders to confirm and compile agenda and speaker updates for each program for marketing purposes, promotional and onsite materials, and CLE applications
- Solicit stories and write section/division-related items for The Federal Lawyer, the e-newsletter, and other communication channels
- Create and/or maintain webpages for sections and divisions, Leadership Resources Portal, and webinars
- Create sponsor invoices, applicable registrations, and assist with payment follow-up
- Create all onsite signage, speaker name plates and PowerPoint templates
- Administer the FBA Awards program
- Answer inquiries about section and division programs
- Support onsite management of conferences and meetings as needed and assist with registration procedures, including setup, tear down, lifting materials, and organizing and packing items for shipment
- Act as a liaison between the sections and divisions and the Marketing and Communications department and assist in the creation of newsletters, brochures, and flyers
- Periodic travel required by air, rail or automobile, whichever suit the needs of the business
- Update standard operating procedures as necessary
