The Building Owners and Managers Association Greater Dallas is hiring an experienced membership/education professional to join our team. The Member Services & Education Coordinator is responsible for providing superior customer service and valuable learning opportunities to current and potential BOMA Greater Dallas members. In addition to managing the association’s membership activities, this position works closely with the BOMA Greater Dallas Foundation, the association’s educational arm.
Membership
Serves as primary staff contact for Member Services area.
Handles membership recruitment and retention, including monitoring payments.
Maintains and updates the membership database.
Update member records on the BOMA International site on a weekly basis.
Ensure PCI credit card compliance with all member billings and payments.
Provide regular membership reports.
Maintain and update wait lists for vendor (allied) membership.
Extend membership invitation to allied members upon approval of the Board of Directors.
Coordinate new member orientation, including securing location, extending invitations, drafting agendas and preparing remarks for leadership.
Assist in creating and implementing member surveys and focus groups.
Education/Scholarship
Serve as liaison to BOMI International, Texas Real Estate Commission (TREC), BOMA Dallas Foundation Board and Education Committee.
Create timeline for all Foundation courses in advance and plan marketing strategy.
Solicit instructors for seminars, courses and conference and maintain instructor credentials.
Order and distribute instructor and student materials.
Submit course rosters, review invoices and submit to Financial Manager for payment using established financial procedures.
Assist students with required paperwork to maintain BOMI designations.
Coordinate space and audio/visual needs for seminars, courses and conferences.
Maintain the Foundation’s status with TREC as a Mandatory Continuing Education (MCE) provider.
Submit requests to TREC for MCE credit approval for seminars, courses and conferences.
File required paperwork with TREC for students to receive/maintain their MCE credit.
Assist students with scholarship requests and submit for approval to Education Committee.
Maintain scholarship records and submit reimbursement requests to Financial Manager.
Create Foundation budget for educational seminars, courses and conferences with assistance from Education Chair and Vice Chair.
Accounting
Accept and apply payments for event registrations, dues renewals, etc.
Process credit card payments following PCI compliance rules.
Monitor, collect and apply outstanding payments for Foundation and BOMA.
Create invoices as needed for events and programs.
Assist finance manager in the bank deposit process.
Committee Management/Scholarship
Serve as staff liaison for the Education, Engineer, Industrial, Membership and Scholarship committees
Maintain copies of all board and committee minutes per the organization’s document retention policy.
Maintain signed board minutes for audit review.
Maintain public copy of Form 990 tax return per nonprofit laws.
Create and maintain annual Leadership Directory.
Maintain committee wait list for volunteer participation.
Manage scholarship development and application process.
Necessary Skills & Job Requirements
3+ years of experience, preferably in an association environment
Strong written and oral communications stills.
Exceptional customer service skills.
Understanding of budgeting process.
Ability to work with a diverse group of volunteers, members and staff.
Understand political nuances of association management.
Independent worker with the ability to multitask and assess priorities.
Willingness to assist or manage any task – regardless of how large or small the task.
Knowledge of design programs, PowerPoint, membership databases and web site management.
Enjoy participating in events ranging from formal awards dinner to casual sporting clays tournament.
College degree required.
