The American Society of Colon and Rectal Surgeons (ASCRS) is seeking an experienced Project Specialist – Marketing Communications and Corporate Relations. We’re looking for a versatile Marketing Communications professional with 3-4 years of experience providing overall support of marketing communications activities ideally in a medical specialty or other healthcare organization.
You will also provide administrative support for various initiatives related to ASCRS’ corporate partners.

What is the Opportunity?
Reporting to the Director of Marketing and Communications the Specialist will “own” primary project support for a wide variety of marketing communications projects for the Society and the Research Foundation. Our Project Specialist assists in the day-to-day activities of marketing communications, including website updates and overall logistical and administrative support for marketing communications related projects. The Project Specialist supports the development, writing, distribution and maintenance of print and electronic communications, including presentations delivered by key staff and Executive Council members, newsletters, brochures and website content, in line with privacy and related regulations. You will support social media strategy to enhance the ASCRS brand. You are an excellent writer who is well organized, a self starter with a strong sense of ownership and accountability, and you have the ability to identify problems and quickly develop solutions that focus on results.
You will work closely with the Director of Corporate Relations and Industry and the Manager Industry Partnerships to provide administrative support and assist with the identification of opportunities to increase industry support for initiatives in colorectal surgery.
Key responsibilities for Marketing Communications:
Provide technical, clerical and administrative assistance for marketing communications, website, online communities, social media and other platforms as identified.
Ensure that project budgets and deadlines are met or exceeded, closely following timelines identified in marketing and strategic plans. Participate in the creation of the annual budget for marketing communications activities.
Collaborate with internal departments on marketing copy, email content and communications strategy. Conceptualize, write, edit and produce customized marketing communications materials, including print and electronic formats. Ensure that spelling and grammar are correct and that spacing and appearance is accurate for final format.
In coordination with the Director of Marketing and Communications, offer regular and timely updates to staff on communication plans and deadlines and regularly invite feedback.
Prepare and implement marketing and advertising campaigns with direction from the Director of Marketing and Communications.
In collaboration with the Director of Marketing and Communications assist with support for committees focused on marketing communications.
Provide excellent customer service via phone and email to ASCRS members, their staff, stakeholders and vendor partners.
Create, post and schedule website content.
Set up and send timely ad hoc and automated emails in Informz, pulling information from and entering information into iMIS. Ensure that appropriate review and necessary approvals are in place.
Manage ASCRS logo and ensure content is consistent with ASCRS branding guidelines.
Support social media marketing efforts by scheduling posts. Identify and recommend opportunities for ASCRS to advance its mission.
Coordinate marketing collateral for Society and Foundation representation at allied events.
Maintain current knowledge of ASCRS and Foundation strategic priorities, events, products, and promotions.
Key responsibilities for Corporate Relations:
Provide administrative support for partnership efforts of the Director, Industry Relations and the Manager, Industry Relations
Submit, track and follow-up on industry grant support related to ASCRS Annual Scientific Meeting CME workshops.
Invoice, track and follow-up as needed to secure payment for partnership sales.
Assist with lead generation efforts for targeting new sponsors i.e. identifying and cultivating potential industry partners to support ASCRS priorities.
Draft, edit and review copy to ensure that spelling and grammar are correct and that spacing and appearance is accurate and consistent with ASCRS standards.
Working with the Director, Industry Relations, create member surveys on demographics, sponsor recall and loyalty. Report results to appropriate ASCRS leadership, staff and industry partners
Assist with production of fulfillment reports (e.g., results of activation strategies, relevant research from surveys, etc.)
Support Manager, Industry Partnerships with sponsor recognition efforts. Ensure that recognition in all communication platforms is consistent and proportionate to the level of support.
What qualifications are needed?
BA/BS degree or equivalent experience and at least 4 years of marketing communication experience preferably in a health care society or other professional association.
Experience working remotely, within a small team environment wearing multiple hats. You are flexible and understand the need to be nimble in a lean organization.
Strong collaboration skills across all levels. You possess leadership qualities including empathy and accountability, to form strong relationships with colleagues, members and external stakeholders.
Demonstrated excellent writing and editorial skills as well as the proven ability to make clear, convincing presentations to a variety of constituencies
Ability to address/resolve member issues quickly, using a clear, thoughtful manner and “member first” service perspective.
A digital citizen with advanced knowledge of Microsoft Office products particularly Word, Excel, and PowerPoint. Intermediate to advanced experience with iMIS or other AMS, including reporting. Extra credit for experience in an Office 365 environment and with submission of grant applications. Strong familiarity with social media including advertising platforms (LinkedIn Campaign Manager and Facebook Business Manager), Google ads and analytics, VIMEO and email delivery platforms. Travel and expense reconciliation (Concur or similar), web conferencing tools, project management software e.g. TeamWorks, Survey Monkey, web editing, web community management (Higher Logic).
Service-oriented attitude and the desire to work with/for multiple people with a variety of personality-types and various levels of need for support.
Creative and innovative with the ability to work efficiently and meet deadlines. You have a proactive and positive approach to process improvement and learn on the fly.
Ability to travel up to 20 days a year to ASCRS meetings.
