Entry level full-time opportunity for an administrative professional to support the executive office of the President and research Foundation of a trade association in Washington, DC. The organization is seeking a self-starter looking for a position with great potential for learning and growth. In this fast paced and team-oriented environment, the proper candidate will provide high-level administrative coordination and support to the Executive Assistant to the President and the Foundation President.
The right candidate must be a highly motivated professional with pleasant demeanor and positive attitude. Must be able to take direction well and execute tasks and manage projects efficiently and with exceptional attention to detail. This person must be a team-player and have the ability to adapt to fast-paced environment. Must possess the skill-set necessary to prioritize projects and multi-task with a can-do attitude. This candidate with report to the Executive Assistant to the President/CEO and Foundation President.
Provide general administrative office support to executive level managers
Welcome, greet, and direct all guests with a friendly demeanor and professionalism
Share main line phone coverage duties with team of managers
Provide a wide range of project assistance to executive assistant as well as other team members.
General executive office admin support duties include managing/updating key Outlook contact folders, creating and editing correspondence, documents, presentations, talking points, internal memos, briefing materials, internal read-ahead materials to be reviewed and approved by executive assistant to the CEO.
General Foundation admin support duties include creating and editing correspondence, documents, presentations, talking points, briefing materials, internal read-ahead materials. Activities may include fundraising solicitations and donor correspondence, among others.
Coordinates internal and external meetings with meetings department and executive assistant to CEO
Coordinate with appropriate departments on Foundation print and web content including but not limited to newsletter development and distribution and website updates.
Manage Foundation’s annual request for proposals processes including correspondence with outside advisory committees; potential investigators; and collaborators.
Management of President’s calendar to include scheduling appointments and facilitating logistics for in-house meetings and conference calls/webinars.
Completing expense reports and making travel arrangements, occasionally on short notice
Prioritizing, organizing workloads and assignments with minimal supervision
Provide assistance and support and follow-through to the membership of the Institute
Other related duties may be required and other responsibilities may be assigned based on the selected candidate’s experience.
Extremely Proficient in Microsoft Outlook, Excel, Word, and PowerPoint
Exceptional verbal communication or writing skills
Highly organized with outstanding follow through skills
Ability to prioritize and multi-task
Self-motivated, trustworthy and reliable
1 to 2 year(s) experience working in a professional office setting preferred
