The Association of Zoos and Aquariums (AZA) is seeking a Director of Membership and Database Operations on its Member Services team. This position has the primary responsibility for the organization’s association management system (NetForum), membership recruitment and retention, and overseeing the AZA Network online community (HigherLogic). This position also oversees the work of two Program Assistants on the Member Services team.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
Make recommendations for continuous improvements and optimization of the NetFORUM Enterprise database environment.
Maintain AZA’s database, to include periodic upgrades. Work directly with vendor for proper functionality, support and to enhance features. Collaborate with staff to ensure needs are met.
Participate in the review and evaluation of service provider relationships, proposals, contracts and agreements.
Maintain and provide support for existing database connections/interfaces to third party software solutions integrating with NetForum; be the lead for new interfaces that may be developed.
Train staff on usability and functionality of NetForum Enterprise and AZA Network.
Initiate efforts to establish data quality processes and best practices, and lead efforts to improve the quality of data.
Develop reports and queries.
Maintain appropriate communications with all AZA staff to deliver excellent database support, service and training.
Maintain documentation and archives to continuously capture, catalog and inventory, and/or explain the current state of the product database upgrades and processes.
Lead development and maintenance of the AZA Network community. Work with members and colleagues to identify and develop online community needs.
Manage recruitment and retention membership efforts, to ensure materials, communications, and timelines are met.
Prepare dues invoices, provide membership data and analysis reports.
Monitor and maintain efficient dues processing systems and financial controls.
Provide customer service for all member and association services. Respond to member inquiries on a timely basis.
Provide support for Membership Committee, Nominating Committee and Board of Directors meetings, as needed.
Minimum Qualifications (Knowledge, Skills, and Abilities)
5+ years of related experience managing a NetForum database system.
Minimum 5 years of experience working in an Association/Non-profit, in the areas of membership, dues administration, and database administration.
Accounting and non-profit background preferred.
Experience with Windows-based software, including Microsoft Excel and Word.
Strong understanding of IT network infrastructure components.
Strong project management skills to support leading projects from initiation and planning through testing and implementation.
Well-developed and professional verbal communication skills with all levels of staff, including the ability to describe technical processes to non-technical people.
Good written communication skills to present relevant information to management, vendors and other stakeholders.
Must prioritize delivering an excellent customer service experience for end users and members.
Must possess strong problem solving, critical thinking and analytical skills to troubleshoot and resolve technical issues and challenges.
Strong teamwork and interpersonal skills.
Strong attention to detail and ability to set and meet appropriately planned deadlines.
Must be accustomed to working on various issues simultaneously and ensuring the integrity of each project.
Work both independently and as part of a highly integrated team. Supervisor skills preferred.
Thrive and contribute in a fast-moving, ever-changing environment.
Skill in working with database applications, AMS (NetForum Enterprise), content management system (CMS) and database upgrades.
Skill in interpreting AZA policies pertaining to membership.
