The Manager of Events & Business Partnerships coordinates exhibit booth sales, planning, operations and logistics of the Expo Hall at the Society’s Annual Convention. This position identifies and communicates with potential sponsors to sell convention, continuing education and Society sponsorships. The Manager plans convention and membership events. This position works with the Director of Convention & Events on planning, logistics and execution of Society continuing education events.
Responsibilities:
Convention
Staff liaison to RMDC Exhibits Sub-committee
Staff liaison to RMDC Speaker Host Sub-committee
Directs exhibit hall design, floorplan and set-up
Sells exhibit booth space for annual convention
Oversees invoicing and confirmations for exhibitors
Works with Exhibits Sub-Committee on assigning exhibit booths
Solves all exhibitor issues prior to, during and following the convention
Manages exhibit hall set-up and special event vendors
Determines needs and recruits, trains and coordinates convention volunteers including exhibit host volunteers, greeters and speaker hosts
Manages exhibitor registration process
Plans and implements all exhibit hall events
Sells convention sponsorships, administers contracts and coordinates sponsor receivables
Maintains relationships with affiliated dental groups and charitable organizations as related the exhibit hall and convention
Plans and implements convention special events
Assists in development appropriate departmental budgets
Maintains online exhibitor booth sales and management system
Continuing education and events
Prepares content for continuing education marketing emails
Creates event reminder emails
Coordinates event logistics including budget, venue set up, AV and food and beverage
Sells event sponsorships, administers contracts and coordinates sponsor receivables
Recruits and corresponds with speaker hosts
Ensures compliance with all continuing education certification standards
Processes payments for continuing education vendors and speakers
Membership events
Coordinates budget, venue selection and set-up and food and beverage requirements for membership events
Sells membership event sponsorships, administers contracts and coordinates sponsor receivables
Prepares marketing emails for membership events
Prepares content for membership event webpages
Sells vendor memberships, administers contracts and coordinates vendor member receivables
Works with Director of Marketing & Communications to develop vendor member benefits, marketing and recruitment
Mountain West Dental Institute
Assists with rental event coverage
Performs other duties as directed
Minimum Requirements:
Bachelor’s degree
Two years meeting and/or event planning experience
Exhibit booth sales and/or management preferred
Technical Requirements:
Proficient in Microsoft Office Suite
Other Skills/Requirements:
Customer service experience in a professional setting
Ability to work early mornings/evenings/weekends on a weekly basis
Reliable and prompt
Superior organizational, project management and problem-solving skills
Attention to accuracy and detail
Ability to handle multiple projects simultaneously
Capable of setting goals, creating timelines and meeting goals and deadlines
Self-motivated/able to work independently and also able to work in a team environment
Association, member-oriented or non-profit experience preferred
Must be able to lift up to 30 pounds and physically capable of arranging rooms for events
Strong writing skills
Ability to travel 4-6 times per year
Able to quickly and easily learn web-based event planning/exhibit sales software
Sales experience, convention or trade show experience preferred
Event planning experience preferred
Experience working with volunteers preferred
