National Recreation and Park Association (NRPA) seeks a Conference Coordinator to support sales and logistical planning within the conference department. This entry level position requires a strong work ethic, positive attitude, flexibility and strong multi-tasking skills.
Tracking, Processing and Data Entry Create tracking sheets to maintain information for Exhibit and Sponsorship Sales, Contracts, Payments and Priority Points; update floor plans online, maintain current sales databases and assist with transitions into future programs.
Manage the business travel program for NRPA staff, speaker and attendee travel.
Sponsorships Maintain spreadsheet of all sponsorship obligations, due dates and work with appropriate staff members to ensure timely fulfillment.
Provide customer service to exhibitors and volunteers as needed; back-up customer service support for conference attendees. Work with Sales Manager and decorating vendor to prepare the exhibitor service kits, provide NRPA details, proof read drafts and assist with communicating details and deadlines to exhibitors. Assist with new listings and contact information for Exhibit Sales Representatives. Collaborate with Exhibit Sales Manager to prepare and set up online presale; provide weekly exhibitor memberships and Elite upgrades to Membership Department; Provide general service contractor and registration and housing company with weekly exhibitor lists and updated exhibitor records; create, build and maintain reports and metrics as requested.
Conferences Provide exhibitor and sponsor listings, reports and information as requested for conference materials and deliverables. Work with the Conference and IT teams to ensure correct and timely information (sales and logistics) is posted to the Conference microsite, provide ongoing and frequent updates and review weekly. Assist with hotel reservations at local properties, shuttle transportation and F&B. Work with Conference and Research teams on survey to exhibitors and attendees. Report key findings and trends. Meet with internal departments to assess onsite needs, work with Marketing on sign and copy standards, manage the production and proofing process with decorating vendor and handle onsite inventory and placement of sign order. Develop, collect and maintain information to create all conference RFP’s, event resumes and metrics for critical conference elements (2010 Minneapolis+).

Salary: $40,000 - $42,500
