The Florida Justice Association is a statewide association dedicated to strengthening and upholding Florida’s civil justice system and protecting the rights of Florida’s citizens and consumers. The association is seeking an Assistant Accounting Manager for the main office in Tallahassee, FL.

JOB SUMMARY

This position is responsible for computerized accounting of financial information for several entities/companies within the association.

MAJOR DUTIES AND RESPONSIBILITIES

DAILY •Post deposits for multiple companies in cash management and general ledger modules in Sage Software System. •When Accounting Assistant is not available, sort incoming mail for multiple companies and distribute to recipient. •Answer all telephone calls that do not go through to departments or individuals. Answer telephone calls for credit card inquiries and accounting inquiries. •During business hours, monitor the secured front door, buzzing vendors, members into the building.

WEEKLY •Process all invoices received for multiple companies. •Process vendor checks as needed for multiple entities. •Maintain vendor files for multiple entities.

MONTHLY •Process end of month payables for multiple companies. •Prepare inter-company allocations. •Maintain petty cash for multiple companies. •Distribute monthly financial reports and statements for several companies. •Assist in preparation of Board of Directors financial reports as needed. •Reconcile bank statements. •Reconcile inter-company accounts payable and receivable.

MONTHLY (MORE FREQUENTLY DURING ELECTION YEARS) •Prepare and file Election Treasurer’s Reports to State of Florida, Division of Elections for multiple entities. When special elections are held, this can become a daily or weekly process.

ANNUALLY •Assist in preparation of new bank signature cards. •Assist in annual budget preparations. •Prepare and distribute vendor 1099’s.

•Distribute end of year financial reports. •Prepare boxes for storage of prior year financial information. •Produce schedules and other financial information for annual audit.

ASSIST ACCOUNTING MANAGER AS NEEDED FOR THE FOLLOWING: •Sort and open mail specifically pertaining to accounts payable statements/ invoices for multiple companies. •In absence of Accounting Assistant: Prepare deposits for in-house Quick deposit system, prepare deposit tickets and make copies of all deposit tickets and checks; for all not processed through Quick Deposit. One copy to department and one copy for financial records. Distribute prepared mail and deposit copies to each department. Take deposits to bank, if necessary. •Assist Accounting Manager by entering accounts payable into General Ledger as needed. •In absence of Accounting Manager: cross-trained for her duties.

OTHER DUTIES •Order office/janitorial supplies, as needed (backup to Accounting Assistant). •Contacting/scheduling vendors when various maintenance repairs are needed. •Setup bank accounts for new entities as needed. •Cross train with Accounting Manager to have knowledge of that position’s duties and to act as back-up for: processing credit card charges, payroll, HR functions, sales tax reporting and accounts payable.

JOB REQUIREMENTS

AA in finance, accounting or over 3 years experience in general ledger, accounts payable, accounts receivable work using GAAP (generally accepted accounting principles).

Knowledge of basic computer operating skills such as file backups and maintaining computer files.

Software requirements: Accounting System Software (Sage preferred), Excel, Outlook, Word
